It’s surprising to me how many Pike13 businesses aren't taking attendance—either because they don't have a good way to or because they know and trust their clients. In fact, getting accurate attendance is a big deal for making sure you get paid, even if you trust your clients (and we hope you do!).
One Pike13 client, Bevin Head of Grapevine CrossFit, said that by tracking attendance, “we’ve been able to tap into at least $2,000 to $3,000 a month in unrealized revenue."

To track your revenue flow, you need to be aware of two different transactions that take place in Pike13—the client buying a plan or pass and then the client using it to pay for a service. Pike13 helps make sure you're paid for your service by ensuring that the first happens before the second.
It’s easy to take control of your leaking revenue by using the tools Pike13 gives you—from reconciling notifications while taking attendance to pulling reports for unpaid client invoices and visits. Be sure you get paid in full!
Roster notifications—address it at the start of class
Not taking attendance? Then you’re practically encouraging your clients to steal from you. As you take attendance, it’s easy to reconcile roster notifications—both are crucial for revenue collection. Not only is the instructor notified right at the start of class if the client doesn’t have a current plan or pass to pay for the visit, instructors taking attendance are also notified if a client has a failed payment.
Clients who check in without an applicable plan or pass to pay for the visit are marked as “Unpaid” next to their name and listed under an “Unpaid” heading. Clients with a failed payment who check in will show a “Failed Payment” label next to their name. To reconcile either of these notifications, click the gear button next to the client’s name.
You also get an overview of the roster notifications at the top of the event roster page. When you click any notification, the roster shows all clients with that specific notification.
Two unpaid transaction types, compared
Unpaid bill A client who owes you money for a plan or pass is referred to as having an “Unpaid Bill.”
Unpaid visit A client who has been checked into a service without an applicable plan or pass is referred to as having an “Unpaid Visit.”
Stay on top of revenue collection with automated email notifications
To stay on top of your revenue collection, keep two different automated email notifications enabled, both of which are available for staff members with owner or manager permissions:

A client's payment fails or is overdue When enabling this notification, you’ll receive an email each time a client has missed a payment.

A client visit is unpaid When enabled, this notification will email you each time a client checks in without an applicable plan or pass to pay for their visit.
To adjust your notification settings, click the bell button in the header in your Pike13 site, and then click Settings.
See who owes you
Pike13 offers robust reporting for getting the info you need about clients who owe you money. Here are the reports to use:
Find all open invoices

Go to Reporting & Analytics > New Reporting > Financials > Invoices Report.

Filter for “Status” “is” “Open.”
Find all unpaid visits

Go to Reporting & Analytics > New Reporting > Clients > Visits Report.

While Pike13s offers revenue collection tools like notifications and reports, you and your staff members still need to take action! Get the word out to your staff members, take attendance, reconcile notifications, and pull reports often to stop leaking revenue and make sure you get your money in the bank.
